Through paid STEM internships, dynamic college and career readiness programming, and meaningful youth leadership opportunities, LEAH cultivates the confidence of youth and equips them with the skills and connections they need to thrive. Opportunity

91ÉÙÅ® is seeking an Administrative Coordinator to join our team and support the LEAH Project and provide a range of administrative support and services. This is a great opportunity that requires a keen attention to detail and the ability to work as part of a team and independently.

This is a full-time, exempt position with a salary range of upper $40K’s to low $50K’s. annually plus benefits. The is a hybrid role with 2-3 days working in 91ÉÙŮ’s office in Boston, MA and 2-3 days working remotely. Limited travel (at 91ÉÙÅ®’s expense) may be required for training, retreats, or meetings.

Position Summary

The Administrative Coordinator will primarily support The LEAH Project staff, a team of youth workers who serve approximately 100 high school and college aged youth each year. They will also support all of LEAH’s program tracks by managing a range of administrative tasks. The Administrative Coordinator will manage LEAH’s systems for tracking youth data and corresponding databases, oversee and maintain shared resources and processes used by all program tracks and staff, and support LEAH fundraising and development efforts by managing and tracking grant proposals and reports.  The Administrative Coordinator will be supervised by the LEAH Project Director.

Duties and Responsibilities:

  • Maintain detailed databases of youth and program alumni, including but not limited to, timesheet data, stipend amounts, and application data.
  • Correspond with youth and families about program logistics, inquiries and applications, and outstanding documentation needed, etc.
  • Support team communication with external partners, youth, volunteers, funders, and applicants, including maintaining Constant Contact database and coordinating mailings.
  • Maintain monthly programming, event and workshop calendars.
  • Maintain the grant management platform, draft grant and report proposal templates, and capture key grant deadlines.
  • Gather and prepare proposal documentation (forms, resumes, etc.).
  • Assist with preparing and presenting program and funder reports and results.
  • Assist with daily administrative tasks including check requests, expense reporting, processing reimbursements, managing team meetings, booking conference rooms, and placing program snack and meal orders.
  • Manage and monitor LEAH’s shared email inbox and notify team members of messages pertaining to their project work.
  • Prepare materials for workshops, events, and special presentations.
  • Support senior staff in fundraising and grant writing, as needed.
  • Support LEAH’s social media communications efforts, as needed.
  • Facilitate and note take for team meetings, department meetings and other opportunities, as needed.
  • Suggest ideas/improvements through participation in teams and committees.

Candidate Qualifications:

  • Bachelor’s degree in applicable field of study, or in absence of a degree, at least two years’ experience in an office environment.
  • Demonstrated ability to prioritize and coordinate multiple projects simultaneously.
  • Demonstrate excellent organizational, initiative-taking, and communication skills.
  • Excellent attention to detail, especially with writing and editing.
  • Strong communication and interpersonal skills.
  • Strong critical thinking and problem-solving and time management skills.
  • Ability to be creative and engaging.
  • Microsoft Office proficiency.
  • Ability to be adaptable to different work styles and flexible in your role.
  • A sense of humor.
  • Expertise in youth development and cultural competence is a plus.

Typical hours are 10am-6pm, but this is flexible. Additional evening and weekend hours are sometimes required to fulfill the duties of this position.
